Job description

As an assistant, you ask yourself, “How can I make this process more efficient or organized?” You have a masterful ability to wrangle schedules, anticipate needs, and hit deadlines. Crossing off tasks gives you ultimate satisfaction, and memories of unfiled email gives you migraines. You are a fantastic teammate and an even better employee. Multitasking is second nature. You can work well with others and work efficiently when accomplishing independent tasks.

The Fun Stuff
  • Interact daily with company leadership (we’re super fun!) on the progress and status of tasks, deadlines, and upcoming needs.
  • Manage various company calendars.
  • Perform new employee onboarding tasks in collaboration with management.
  • Track and order company supplies and swag.
  • Organize and maintain office supply closet and coffee bar. Route incoming mail and packages. Ensure the office maintains a clean and neat appearance.
  • Plan, organize, and coordinate events in collaboration with management. Collect attendance, make deposits and complete paperwork as assigned.
  • Send weekly reminders/announcements to staff and update company internal portal.
  • Schedule and coordinate with outside vendors/contractors as needed.
  • Attend calls on behalf of management and take copious notes.
  • Maintain company equipment tracking database and order supplies (mice, keyboards, etc.) as required.
  • Act as a liaison between staff and management as required, helping to answer and route questions and feedback.
  • Prep for conference room events/meetings and assist with catering as needed.
  • Log and create mileage reports.
  • Fax, scan, print, mail, and file documents as required.
  • Assist with training and conference registration and travel logistics.
  • Collect and track signatures and certificates for various ongoing trainings and classes.
The Necessities
  • You have a minimum of an Associate’s degree with five years of experience in an executive assistant or similar role.
  • You are tech-savvy, with the ability to quickly learn a variety of simple web-based tools used for project management, communication, file storage and task tracking.
  • You have excellent verbal and written communication skills.
  • You are connected to and responsive on multiple platforms (e.g. phone, text, Slack).
  • You are extremely detail oriented and organized.
  • You have exceptional time management skills.
  • You have strong computer skills (Mac is desirable, but not required)
  • You have a positive attitude and willingness to take on more duties as assigned.
  • You have experience planning and coordinating events.
The Place to Be

Work location is remote, with the ability to easily commute to Columbia, Maryland as needed.
